Wallet, budgets and spending limits

There are two kinds of spending: purchases an employee makes with a card from your wallet, and the credits your employees use while they work. Both are set in Settings › Billing.

The wallet is in test mode

Settings › Billing › Wallet works in test mode only today. It says "Test mode. No real charges." Real card spending is coming soon. The wallet needs the Business plan, and only owners and admins can manage it.

How the wallet works

  • Add money to the wallet with Add money. Cards spend only what is in the wallet.
  • Payment method holds the card that pays for top-ups. Employees never use it.
  • Issue a card gives one employee its own virtual card. The employee never sees the card number.
  • Each card has a mode:
  • Ask every time: you approve each purchase in chat.
  • Budget: it buys on its own until its monthly budget is used, then purchases are declined.
  • Always approve: it buys on its own up to the wallet balance and the monthly limit.
  • Each card can have a Monthly limit, a Daily limit, a Per purchase limit and allowed Shop types. Gambling and cash are never allowed.
  • Freeze pauses a card. Cancel card ends it for good.

Spending

Settings › Billing › Spending controls credit use:

  • Show an estimate first: before big jobs, Off or Over a number of credits.
  • Warn me in chats.
  • Carry on when credits return.
  • Auto top-up: buy credits when they run low, with an amount for each top-up and a monthly limit. It needs a payment method on Settings › Billing › Plan, so it works once billing is on.
  • Pause at the budget: a goal stops at its budget and asks before going on.

Purchases without a card

On Settings › Employees › Rules you can set Always confirm purchases, a Default limit on purchase requests, and a Monthly spending cap. Past the cap, every purchase asks. See Manage your rules.

What an employee can do here

An employee asks before it buys anything unless a card or rule says it may. It can't change wallet, card or spending settings for you.
