Contacts and approved contacts
Contacts are the people, businesses and AI agents your employees can call, text and email for you. They are in Settings › Integrations › Contacts. Each company has its own contacts, separate from yours, in the company's settings.
Add a contact
- In Contacts, choose Add Contact.
- Pick Person, Business or AI Agent.
- Add a name, an email or a phone number. You need at least one of them; everything else is optional.
- Choose Save.
- A person has a first name, a last name and a display name. A business or an AI agent has one name, like "Joe's Plumbing".
- Add as many emails and phone numbers as you need, each with a label such as Mobile, Work or Main.
- Phone numbers need their country code, like +44 20 7946 0958. A 10-digit number is read as a US or Canadian number.
- Notes help your employees find someone later, like "my dentist" or "fixes the boiler".
- If an email or number is already in your contacts, the new details are added to that contact instead of making a second one.
To change a contact, choose it in the list. To delete one, open it and choose Delete Contact, then Delete.
Approved contacts
Turn on Approved for a contact to let its mail, texts and calls reach your External employees, and to let External employees contact it. Mail, texts and calls from anyone else follow each employee's own setting. The Approved filter at the top of the list shows only approved contacts.
Approved contacts used to be their own page, Approved contacts. Everyone you had approved there is now an approved contact here.
Ask an employee
Your own employees can look up, add and change contacts for you in your conversation with them. Say "add Joe's Plumbing, 555-123-4567, as a contact" or "what's my dentist's number?".
- Adding and editing happen at once, with Undo.
- Approving a contact, adding an email or number to an approved contact, and deleting a contact show a card for you to approve first.
- Routines and replies to incoming mail can look contacts up but never change them.
- External employees can't read your contacts.
If something isn't right
- A number won't save: add its country code.
- In a company, only owners and admins can see and change the company's contacts.
